Milestone 1: The project’s team is set up

The first step is to ensure the team is ready for the project:

  • Qualification of the needs 
  • Recruitment / enrolment of the members
  • Training if needed

Milestone 2: The working plan is validated

Once the team is there, the working plan has to be build and share. It is a reference document of the project to provide the overall picture. It has to be approved by each member of the team as it is the base of the coming work and provides all the key messages to deliver.

Key activities:

  • Draft of a first version of the working plan by one person / group of persons of the team
  • Working plan sharing session
  • Adjustment of the working plan and task assignment

Milestone 3: The financial plan is secured

The working plan gives an overall picture of tasks to be realized by the team. It has to be confronted to the financial plan to ensure its feasibility. The financial plan should give the total budget of the project and its segmentation by activity. That way, the financial follow-up of the project could be installed and prevent any failure because of lack of money.

Key activities:

  • Estimation of the cost of the project in its first design
  • Estimation of the funds available to complete the project
  • Alignment of the project design according to the available funds / Research of additional funds

 

Milestone 4: Ways of working are decided and Monitoring tools are designed

The monitoring tool package should be part of the reference documentation of the project, as well as the working patterns. It should allow to get a report of the project at any time.

The monitoring package should cover:

  • Progress report (what has been done and what is to be done)
  • Risk management
  • Financial status

Moreover, it should come jointly with working patterns to ensure the efficiency and coordination of the team. Working patterns have to be flexible, nevertheless, they should provide common rules respected by each member of the team.
